• All clinical records, session notes, and scanned correspondence are encrypted at both the file and file-name levels using AES‑256 bit encryption (industry gold standard)

• Zero-knowledge password encryption ensures Mi‑Psych staff are the only ones with access

• Paper documents are digitised, then securely shredded

• Clinical files are retained for 7 years, or until age 25 for minors, in accordance with Australian law

We use:

• Halaxy for practice management, which includes 2FA (two-factor authentication) and secure storage

• Microsoft 365 Business for email, also secured by 2FA and encryption

• Secure, HIPAA-compliant platforms (e.g., fax or encrypted email) for correspondence with referrers

• Client correspondence is stored securely, but the security of devices you or your referrers use cannot be guaranteed. For sensitive documents, consider encrypting and password-protecting sensitive documents or using secure sharing tools such as Bitwarden Send or Whisp.ly
