Late Rescheduling & Cancellations

We totally understand that life happens. But so you know, when you book a session, your psychologist reserves that time just for you — including time spent between sessions preparing, reflecting, and planning how to best support you on your journey.

If you reschedule or cancel late, it’s often too late to offer the spot to someone else. Thus you are encouraged to reach out as early as possible to avoid any cancellation fees.

 

Cancellation Policy

To ensure we can continue offering high-quality, personalized therapy—and to respect the sustainability of Mi-Psych as Service—we have a cancellation policy in place. 

 

In line with the Australian Psychological Society (APS) guidelines, the following cancellation policy applies:

  • Cancelling / rescheduling with less than 48 hours’ notice will incur a 50% fee.
  • Cancelling / rescheduling with less than 24 hours’ notice (or no-shows) will incur the full session fee (100%).

Cancellation fees are not eligible for Medicare rebates.  

 

Why a Cancellation Fee?

The cancellation policy exists to honour the time and preparation that goes into each of your sessions and to protect the sustainability of the serviceAt Mi-Psych, our cancellation policy isn’t about being punitive — it’s about respecting your therapist’s time, ensuring fairness, and sustaining a high standard of care. 
 
 
Here’s why it matters:

🕒Preparation Time & Record-Keeping 

  • Psychologists dedicate time before and after your sessions to review notes, plan tailored interventions, and to engage in tasks like resource development and/or peer consultation. This work takes place regardless of whether the session proceeds.
  • Even if a session is missed, psychologists are still ethically and legally required to document the cancellation and update your clinical file. This administrative work takes time.

 

🧾Reserved Times Can’t Be Easily Refilled

  • Your appointment is held just for you. Late cancellations often leave slots empty, as waitlisted clients often can’t adjust their schedules on short notice.  
  • Unlike businesses that sell products, for a psychology practice a missed session that can’t be filled can not be “resold later” — meaning time and income are lost.

🧘‍♀️Quality Over Quantity

  • Unlike high-volume clinics, where practitioners may see 8–10 clients a day, at Mi-Psych we prioritize depth over volume. By limiting appointments to just 3–4 per day, Andreas remains fully present and focused on you — but this also means each missed session carries more weight.

 

⏳Impact of Late Cancellations on Our Practice

  • Because your confirmed appointment time was reserved exclusively for you, wait-listed clients may continue seeking support elsewhere and potentially begin therapy with another provider.
  • This creates a double financial impact: the immediate loss of your session plus the potential loss of the wait-listed client — both of which affect the sustainability of the practice.
 
Note. If we are able to fill your cancelled slot with a wait-listed client, the cancellation fee will be waived. 

 

Can I Reschedule my Appointment?

Certainly. You can reschedule at any time by contacting us

However, please note that rescheduling within 48 hours of your session will incur the same fees as a cancellation:

  • 50% of the session fee for less than 48 hours’ notice
  • 100% for less than 24 hours’ notice or no-shows

Cancellation fees are not eligible for Medicare rebates.  

We encourage you to reach out as early as possible to avoid any cancellation fees.

This also policy appears in the Registration and Consent Form that you are asked to read, consentto and sign prior to commencing therapy, at the footer of every email, and/or each appointment reminder sent to you.
